Job Purpose:

Provide a first class onboarding service for clients transferring to TSW from retiring IFA/firms by way of processing client data, fees and third party agency transfers both accurately and in line with agreed timescales.

Ensure we engage with internal and external clients and providers in a professional, compliant and efficient manner.

Key Responsibilities:

Ensure all Operational deliverables are actioned in accordance with agreed timescales, quality standards, regulatory and company requirements.

  • Produce client mailings and track responses to progress client transfers quickly and efficiently.
  • Accurate input of personal client data to include plan information utilising the TSW database; IRESS XPlan.
  • Creation of data feeds via IRESS Xplan to ensure plan values are updated automatically where possible.
  • Liaise with third party product providers to expedite policy transfers of agency and track responses.
  • Ensure appropriate service agreement and remuneration details are recorded accurately on IRESS XPlan.
  • Maintain Excel worksheets to ensure the tracking of client responses and agency transfers is up to date at all times.
  • Provide an excellent support service to colleagues involved with the client transfers either from the transferring team or receiving branch.
  • Maintain core systems ensuring all tasks are completed in line with company policy and procedures.
  • Support the finance team to aid the transfer of client remuneration from the prior firm to TSW.
  • Prioritise workload to ensure all activities are timely, compliant and conducted in a manner that will meet agreed performance standards.
  • Complete project related activities or general tasks as instructed by the Head of Operations, Leeds and follow through to completion dealing with any queries that arise from these activities.
  • Develop and maintain effective relationships with clients, colleagues and third parties.
  • Be aware and act upon any compliance, risk and quality issues.
  • You may be asked to undertake other duties to support the workload across the teams within Leeds Operations. Training will be provided as appropriate.
Skills and Qualifications:
  • FS product knowledge or operational experience within the financial services industry; useful but not essential.
  • Excellent standard of education to included Maths and English.
  • Proficient IT skills in core Microsoft Office systems; Mail Merge expertise and/or intermediate Excel skills essential.
  • Organisation and prioritisation skills; being able to work independently and within a team
  • Excellent verbal and written communication skills with an eye for detail.
  • Professional telephone manner.
